If you are running a festival, a 5K, a church outreach in a park or a street block party in Denton, the city will want to know where the restrooms go. Do I need a City of Denton permit for my event?
You likely need a City of Denton special event permit if your event uses city property or public space: a park, a street closure, a downtown block or a public plaza. Applications go through Parks & Recreation at (940) 349-7275. A private party on your own property usually does not need one.
The city sorts events into tiers, from Tier 1 for a block party up to Tier 5 for the largest events. The tier sets the application fee. Recurring events pay a reduced rate. Ask Parks & Recreation which tier fits before you start the form.
How far ahead should I apply for a Denton special event permit?
Apply for a City of Denton special event permit at least 60 days before the event, or 90 days ahead if alcohol or amplified noise is involved. Supporting items have their own deadlines: the site map, insurance certificates and temporary structure permits are due no less than 30 days before the event.

Late applications can carry late fees. Work backward from the event date and put each deadline on your calendar. Restroom booking belongs before the 30-day site map deadline, because the map needs final unit counts.
Does the Denton site map have to show portable restrooms?
Yes. The City of Denton site map must show every portable restroom location. The same map shows trash cans, generators, tents and canopies, first-aid stations, fire lanes, signage, parking and accessible parking. The site map is due no less than 30 days before the event. Book restrooms first, so the map shows real unit counts and positions.
A good site map for restrooms shows four things:
- Each restroom cluster with the number of standard, accessible and hand-wash units.
- The truck access route from the street to each cluster.
- The accessible route from accessible parking to the accessible unit.
- Trash cans next to each restroom cluster.
How many portable restrooms does a Denton event need?
The City of Denton application asks you to show restrooms but does not set one count for every event. Our house method is 1 standard unit per 50 guests for up to 4 hours, 1 per 35 for 4–8 hours, and 1 per 25 beyond 8 hours. At least 5% of units in each cluster, minimum 1, should be wheelchair-accessible.
The accessible count comes from the 2010 ADA Standards §213.2. Our PolyJohn Comfort XL is designed to help meet those counts, with a roll-in floor and a 62 × 62 inch footprint. If alcohol is served, add 1 unit per 100 guests. If food is served, add 1 hand-wash station per 2 toilets.
Worked example: a 400-guest, 6-hour festival with beer. 400 ÷ 35 = 11.4, round up to 12. Add 4 for alcohol = 16 units. 5% of 16 = 0.8, so at least 1 accessible per cluster; with two clusters of 8, that is 2 accessible units. Food vendors: 16 ÷ 2 = 8 hand-wash stations. calls we reviewed were church events, one in a city park and one at a campground. The park organizer said the park required two units, one of them wheelchair-accessible. Both asked for one standard and one accessible unit. Check your venue's rule before you finalize the count.

A City of Denton special event needs general liability insurance of 1 million dollars per occurrence, with the City of Denton listed as an additional insured. Events serving alcohol also need liquor liability of 1 million dollars per occurrence. Insurance certificates are due no less than 30 days before the event.
Ask your insurance agent for an event policy early. Certificates can take a few days to issue. Restroom rentals do not change your insurance requirement, but units damaged by vandalism, fire or tipping are the renter's responsibility under our rental terms.
Do tents and temporary structures need a separate permit?
Yes. In Denton, tents, canopies and other temporary structures need a temporary structures permit, due no less than 30 days before the event. Portable restrooms are not tents, but they belong on the same site map. Keep restrooms out of fire lanes and away from tent stakes and guy lines.
Generators also go on the site map. If you rent a restroom trailer, it needs a standard 120V outlet within 100 feet or a generator for lights and climate control. Plan that power on the map too.
Where should portable restrooms go on an event site?
Portable restrooms on an event site should sit on level ground, near but not inside the crowd, with a truck path about 10–11 feet wide for delivery and service. Keep them out of fire lanes and off sidewalks. Put hand-wash stations at each cluster and near food vendors. Put the accessible unit on an accessible route.
- Two clusters beat one for big sites. Shorter walks mean shorter lines.
- Downwind of food where possible, and not right beside the stage.
- Lit at night. Evening events need light at every cluster.
- Service access for multi-day events: the pump truck must reach every unit.

When should I book restrooms for a permitted event?
Book portable restrooms before you submit the site map, which is due no less than 30 days before the event. For Denton's busiest dates, like the Arts & Jazz Festival in late April, graduation weekends in May and December, and the North Texas State Fair & Rodeo in August, book as soon as your date is set.
